Time sheet solution for advanced corporations

TimeStore is an advanced time sheet system developed for organizations seeking better management of their human resources.

Who Needs TimeStore

  • Entities that need a time sheet system, like TimeStore, are:
    • Private business entities (like banks, agencies, medical centers, etc…)
    • Governmental organizations.
  • TimeStore is a powerful and scalable application. It is suitable for handling small businesses as well as large multi-national organizations.

What does TimeStore do?
  • TimeStore provides means to track the time employees spend during their shift. This information can then be used for payroll, billing and project management.
  • TimeStore is a stand-alone time sheet application; it records time sheets, and generates reports. This means easy implementation into the existing software structure, because it does not depend on nor interfere with any other system*. (*except for the email locking facility, which can be optionally disabled).
  • TimeStore incorporates the job/project system, which means that users can assign their working hours to a specific project or plan of work, which can be very useful. The benefits are explained in the benefits section below.
  • This is how simple it is to use TimeStore:
    1. Users enter their work time data, and submit it for approval.
    2. The department manager reviews and approves the entered time sheets. (This is an optional step)
    3. The user or the department manager generates the reports.
    4. These reports can then be used for statistics, billing, auditing, etc…

Benefits of using TimeStore
  • TimeStore generates time sheet reports, and these reports help in forming knowledge that the management can utilize in different ways to obtain benefits.
  • Here’s how TimeStore can help your business towards better performance:
    • The project management data can make complex cost relationships visible, thereby allowing lower costs.
    • This knowledge can drive your corporate strategy towards profitable work, as you let your competitors perform the unprofitable.
    • TimeStore can record the start and end time of tasks, or just the duration. The time sheets may contain a detailed breakdown of tasks accomplished throughout a project or program. This information can be used for payroll, client billing, and even for project costing, estimation, tracking and management.
    • In the project management world, time sheets can also be used to build a body of knowledge about how much effort tasks take to develop.
      • For example, if developing a training plan has historically taken a month, then it can be assumed that creating a new one will also take a month.
    • And the management now knows what kind of a task each employee is best for by comparing the time a task takes against other tasks.
  • Time tracking can lower costs in 3 ways:
    • By making payroll processing more efficient.
    • By making cost causes visible so you can lower them.
    • And by automating billing & invoicing.
  • Time tracking can also increase revenue through automating billing, which tends to make it easier for a company to get correct invoices out for all hours worked by consulting staff. This speeds up payment and eliminates the hassles of 'dropping' bills.
  • By lowering costs in 3 ways, and increasing revenue in one way, time sheet management technologies can improve the health of your company.

More About TimeStore

Different ways to view data:
  • Users have the facility for viewing their time sheets in different ways, which helps in quick access to any required information.
  • This also assists the user in data entry as they can tell by a glance what entries they missed to fill in which days...
  • For master viewers (like the CEO, or Human Resources officer), more flexible views are also available. Ten different views display time sheets categorized to different kinds of data to serve different reporting needs…

Easy and quick data entry:
  • We understand that entering time sheets can be a boring task to the users. For a few reasons, employees often hate to fill in time sheets. Being a routine obligation is one main reason to hate doing it. TimeStore has the solution for this:
  • TimeStore can notify department managers about users who do not fill time sheets for a number of days. It can also restrict the users' access to their email if they continue to ignore entering time sheets.
  • TimeStore makes time sheets data entry an easy task by implementing three helpful techniques...
    Quick Data Entry Techniques:
    1. In the new time sheet activity document, some fields come pre-populated with the data that the user has used most recently, and is very likely to use again.
    2. And if the user still needs to change the pre-loaded value, they can choose from a list of the most-recently used values, or from all available values.
    3. While filling up a new activity, the user can still see what time sheets they have already entered during the same day. This helps to avoid possible duplication, as the user no longer needs to switch from one window to another to remember what they have entered and what not.

Versatile user permissions:
Various user roles are available to enable the administrator to fine-tune user functions and data security:
  • Regular users
They can only enter time sheets and make reports for themselves.
  • Master viewers
They can view all recorded time sheets and generate reports for everybody.
  • Department managers
Responsible for the users in their departments. They approve the time sheets entered by these users.
  • Job, Client and Task editors
These users maintain internal system lists that hold details about projects or jobs, the clients you deal with, and the tasks to be used in time sheets.

Reports:
Reports are the other core of TimeStore. They are the main means of making entered data visible in the form of monthly sheets, weekly sheets, and job reports.
  • Auditing firms use these time sheet reports as an authentic source of information for making their auditing consultation.
  • The reporting engine in TimeStore is lightning fast; it only takes a couple of seconds to generate a report!
  • Besides the monthly, weekly and per job reports, ten reporting views are available for master readers to satisfy every reporting need…

Data encryption & protection:
  • TimeStore incorporates delicate procedures to insure seamless data protection. Only authorized users can see or report on the time sheets of other users according to clearly-defined rules.
  • The TimeStore database can be encrypted with the RC4 encryption algorithm to further protect the data, in case the server’s operating system had a security breach that made the database available to intruders. This will make the illegally-obtained data unusable.

  • The cost & terms of custom enhancements to the program are subject to negotiation.
